4. The purpose of the register

You are not obliged to provide us with your personal data, but if you choose to do so, we may not be able to provide our service to you.

The customer’s personal data may be processed for the following purposes:

  • Customer relationship management and development
  • Logging in to Urheiluhallit Oy’s reservation system and shop
  • Implementing a self-service website
  • Delivery of products and services
  • Personalization of products and services
  • Improving user experience and product development
  • Direct marketing
  • Customer profiling and segmentation
    targeting marketing and digital advertising
  • Opinion polls and market research
    other similar purposes that are not incompatible with the above
5. The register’s data content

Information received from the user:

  • Registration information, such as username, password and other possible unique identifier
  • Contact information: first and last name, address, telephone number and e-mail address, date of birth, gender
  • Information concerning the customer relationship, such as billing and payment information, product and purchase information, customer feedback and contacts, lottery and competition response information, and information related to reservations (reservation, queue, late and cancellation)
  • Information related to the implementation of communications and information concerning the use of services, such as browsing and search data
    profiling and interest information provided by the customer
    possible permits and consents
  • Denial of supply information
    any other information collected with the customer’s consent
6. The register’s regular information sources

Information about the customer is regularly obtained by:

  • from the customer himself via the Internet, in connection with visiting a cash desk, by telephone, by using a customer card (access control devices), by e-mail or by other similar means
  • Special swimming and water exercise card data will be transferred from the database of the Helsinki Sports Department to Urheiluhallit
    through cookies or other similar technologies

If necessary, the information is checked from the population register, register of associations, trade register, Suomen Asiakastieto Oy or similar data sources.

7. Regular sharing of the personal data

Contact information is transferred from the customer register with the customer’s consent for marketing purposes. The customer’s account and name information will be transferred to the bank records in case of possible refunds. Data will not be disclosed or transferred outside the EU or the European Economic Area.

8. Rights of the data subject

Right of inspection and rectification
The data subject has the right to check the data concerning him or her stored in the register. Contacts concerning the right of inspection must be made through the form provided by Urheiluhallit Oy or in person at the customer service points of the Urheiluhallit various locations, accompanied by an identity document. If there are errors in the data subject’s information, the data subject may submit a request for rectification of the error to the person responsible for register matters mentioned in section 2 or make corrections themselves on the Internet in the reservation system intended for Urheiluhallit Oy customers.

Right to prohibit
The data subject has the right to prohibit the controller from processing data concerning him or her for direct advertising, distance selling and other direct marketing, market research and opinion polls, as well as personal registers and genealogy. In matters of prohibition and rectification, the data subject must open the contact form on the form. When a request is answered, it is via secure email. The data subject may also contact the person mentioned in section 2 by phone or by post to the address mentioned in section 1.

Deletion or transfer of data
The data subject has the right to request the deletion of their own data from Urheiluhallit Oy’s customer systems and/or the transfer of their own customer data. In matters of deletion or transfer, a contact must be opened using the form. When a request is answered, it is via secure email.

The data subject may also contact the person mentioned in section 2 by phone or by post to the address mentioned in section 1.

9. Principles of register protection and storage period

Manual material
There is no manual material.

Electronically stored data

Only those employees who have the right to process customer data on behalf of their work are entitled to use the system containing customer data. Each user has their own username and password for the system. Movement in the workspaces is controlled with access permits. The data is collected in databases that are protected by firewalls, passwords and other technical means. The databases and their backups are located in locked premises and the data can only be accessed by certain pre-designated persons.

Retention period
Customer data is stored for a maximum of five years from the customer’s last purchase or reservation transaction. After this, all customer personal data will be deleted from the customer systems.
